A room in Booklink is a shared resource that is separate from your staff. Each service lists the rooms it can use. When a client books, Booklink only offers a time when a team member and a room are both free, then reserves both.
Rooms are included on every plan, Free and Pro.
How rooms work
Add your rooms once
Name each room, chair or bay and put them in the order you prefer. Deactivate a room when it is out of use and its history stays intact.
Tie services to rooms
A massage can use Room 1 or Room 2. A pedicure needs the pedicure chair. A service with no rooms behaves exactly as before.
Availability checks both
A slot only appears on your booking page when a qualified team member and one of the service rooms are free for the whole duration.
Reserved on booking
The booking grabs the first free room in your order. Two public bookings can never end up in the same room at the same time.
Classes get rooms too
A group session reserves its room for the whole session, so a one-on-one cannot be booked into the studio during yoga.
Override when you must
Booking by hand from the calendar? Switch on override to place a booking past the room check for the rare double-up you know about.

What are rooms in Booklink?
Rooms in Booklink are shared resources such as treatment rooms, chairs or bays. Each service lists which rooms it can use, and a booking is only offered when both a team member and one of those rooms are free. Booklink reserves the room with the booking, so two clients can never be booked into the same room at the same time. Rooms are included on every plan, Free and Pro, and are built for South African clinics, salons and studios with more staff than space.
Questions about rooms
Do I need rooms if I work alone?
No. Rooms matter when more than one person can be booked at the same time and you have fewer rooms than people. A solo operator can leave rooms empty and nothing changes.
What happens if all rooms are busy but a therapist is free?
The slot is not offered. Booklink treats a room like a team member: the booking needs both. Your therapist stays free for a service that does not need a room, or for a walk-in you book by hand with override on.
Can a service use more than one room?
Yes. List every room the service can use. Booklink picks the first free one in your room order when the booking is made.
Can I set different hours for each room?
Not yet. Rooms follow the business hours and the team member hours. Per-room hours are on the list for a later release.
