Google Calendar integration in Booklink provides two-way sync between your booking schedule and Google Calendar. When a client books an appointment, it automatically appears on the assigned team member's Google Calendar. Conversely, existing personal events on Google Calendar automatically block those time slots from online booking - preventing double-bookings without manual schedule management. Each team member connects their own Google account (personal Gmail or Google Workspace). Google Calendar sync is available on the Booklink Pro plan at R79/month and is especially valuable for service providers who manage both personal and business appointments in one calendar.

Setup in five minutes

    Open Integrations in your Booklink dashboard

    Go to Settings → Integrations → Google Calendar. Each team member connects their own calendar from their personal settings page.

    Authorise with Google

    You will be redirected to Google to grant calendar access. Booklink only requests read access to see existing events and write access to create booking events. It never reads event contents or contact details beyond the time block.

    Pick the calendar to read and write

    Most users connect their primary Google Calendar. If you keep personal and business events separate, you can pick a single business calendar to write bookings into while still reading busy blocks from your primary.

    Confirm the SAST timezone

    Booklink reads the timezone set on your Google Calendar so booking slots and calendar events stay aligned. Make sure your Google Calendar timezone is set to Africa/Johannesburg (SAST, UTC+2) for South African clients. Mismatched timezones are the single most common cause of sync surprises.

    Test with a staging booking

    Book a short slot yourself, check it appears on your calendar within a few seconds, then cancel it and check the calendar event disappears. After that, real bookings from clients will flow the same way.

What to check when sync feels off

All-day events block the entire day

If a personal "Birthday" or "Holiday" all-day event is on your calendar, Booklink treats the full day as unavailable. Move it off the connected calendar or convert it to a timed event if you still want bookings on that day.

Shared school or family calendars

Many SA parents subscribe to a school or sports calendar. Those events block booking slots by default. Choose a specific calendar to read busy blocks from, or unsubscribe from noisy calendars on the account you connect.

Two team members, one account

Each team member must connect their own Google account. Sharing a single account across the team will route all bookings through one calendar and break individual availability.

Revoked access after 6 months

Google occasionally forces re-authorisation for inactive apps. If bookings stop syncing, reconnect from the Integrations page - it takes thirty seconds and does not touch past bookings.

Yes. When a booking is confirmed, Booklink automatically creates a calendar event with the client name, service, and time. If a booking is cancelled, the calendar event is removed.
